Secure Records Solutions currently offers two shredding solutions: mobile (onsite) and offsite.

Which is the best shredding solution for your business?

In this blog, we detail the process for each method, and share the differences and similarities of each to help you choose which is best for your business.

Before we get into details, we want to emphasize one important point: Both mobile and offsite shredding are equally secure. We are NAID AAA-Certified for both methods, and we guarantee our work. No matter which solution you ultimately choose, your sensitive information will be securely destroyed.

Mobile v. Offsite Shredding: What’s Different?

THE SHREDDER

SRS’s facility shredder can destroy 350 sheets of paper per pass; that equates to 2.5 tons of paper per hour. Consider how long it might take you or your staff to shred 2.5 tons of paper using a personal or small office shredder. In short, it will take our shredder minutes to destroy what would take you weeks to finish. The contents of the locked bin are destroyed under surveillance as soon as they reach our facility.  The shredder is under surveillance and operated by extensively trained employees with specialized clearance.

Mobile shredding, also called onsite shredding, is when we actually shred the materials before we even leave your parking lot. Our mobile shredding fleet makes your onsite document destruction needs quick and compliant. Each of our mobile shred trucks is equipped with an industrial crosscut shredder, meaning that your documents are cut in multiple directions as they go through a series of blades. This turns your documents into small, unreadable particles.  In fact, our trucks can destroy over 5,000 pounds of paper in a single hour. And you can watch the entire process take place.

THE PROCESS, STEP-BY-STEP

Offsite Shredding

Once you’ve scheduled a pickup time that is convenient for you, we manage the entire process:

  1. We take custody of client records in their office or storage area, placing them into a locking bin for transportation.
  2. We transport these locked bins to our secure off-site shredding plant.
  3. Bins are unloaded in a secure, locked loading dock.
  4. The shredder is operated by a certified, trained employee who has undergone an extensive background check.
  5. Their contents destroyed under surveillance as soon as they reach our facility.
  6. We recycle 100% of the material you shred with us. We share with you the number of trees you have saved by doing the right thing, shredding and recycling your office paper.
  7. You receive an electronic certificate of destruction, documenting what has been destroyed.

Mobile Shredding

  1. We empty your confidential material into secure bins, so you don’t have to lift a finger.
  2. We roll those bins into the hopper of our on-site shredding truck.
  3. An automated arm lifts the bin and dumps it into the belly of the truck.
  4. A high-speed shredder senses the material and begins shredding.
  5. You can even watch on a flip-down monitor as the contents are destroyed.
  6. We recycle 100% of the material you shred with us. We share with you the number of trees you have saved by doing the right thing, shredding and recycling your office paper.
  7. You receive a certificate of destruction, documenting what has been destroyed.

THE COST

Off-site shredding is the most cost effective, timely and secure method of destroying a large volume of paper. Because we aren’t limited by the speed and capacity of a single truck, if you have more than 30 boxes to destroy, you could save hundreds by shredding off-site, without sacrificing security.

Mobile shredding is more expensive, and at times it may take longer to schedule because of the makeup of our fleet.

Mobile v. Offsite Shredding: What’s the Same?

NAID AAA-CERTIFIED

We know, we know. We already said this. But it’s worth reiterating since this is the most common question we receive when it comes to offsite shredding. Both mobile and offsite shredding are equally secure. Both have to meet the same stringent requirements necessary to claim NAID AAA-certification. And both methods are subject to random audits by NAID to ensure compliance.

SECURE SHREDDING CONTAINERS PROVIDED

We provide secure shredding containers for our customers that request frequently scheduled shredding. Choose from our variety of containers, specifically designed to fit nicely within any office space. We’ll help you decide what shredding schedule works best.

  • The Compact Security Container (14″ H x 20″ W x 14.5″ D) This container is very popular with doctors, hospitals and nursing facilities. They can be located throughout any facility for the convenience of your staff.
  • The Shredding Console (32″ H x 19″ W x 17″ D) A more aesthetically pleasing security container that will fit in any office. Light grey in color, it is locked for security and has an easy-access paper slot.
  • The Shredding Bin (95- or 65-gallon container) This is our largest capacity security container that can be conveniently located next to a copier or in a mail room. It is locked for security with an easy access paper slot and can hold up to 300 pounds of paper.

Each bin is equipped with a locking system that makes them secure to protect your sensitive files until they are destroyed.

NO TOUCH SHREDDING

Your files will never be viewed or touched by our team. The locked security bins will keep you compliant and leave you with peace of mind that your records remain confidential. Our trucks have a “no touch” technology that ensures your records remain out of reach and out of site until they are completely destroyed.

EASILY-IDENTIFIABLE TRUCKS FOR SECURITY

No matter which truck comes to your office, rest assured that Secure Records Solutions is boldly displayed on our trucks with all relevant contact information. This is important as it provides our clients with peace of mind and confidence in their chosen provider. Similarly, drivers in both methods will be wearing official SRS shirts and have badges to confirm their identity.

Now, back to the original question, posed as the title.

Which shredding option is best?

It depends.

No matter which route you choose, security will NEVER be compromised. All our work is guaranteed. Some clients prefer to watch their documents being shredded before their eyes, just to have peace of mind. We have a solution for that!

Other clients prefer a more cost-effective solution. We have a solution for that, too.

Our goal is to meet the needs of our clients and do whatever we can to make them feel secure, which is why we have multiple shredding options. Contact us today if you’d like to learn more about our shredding methods and to discuss which option is best for you and your business.
